mydeskpilot

Process automation · AI agents

Your office,
on autopilot.

mydeskpilot puts an AI agent inside the tools your business already uses. It answers clients and colleagues on your own channels, follows the procedures you write step by step, and hands over to a person when needed.

No app switching. No hidden rules. Every step is visible.

Works where you already work

How it works

From a procedure in your own words to an agent that follows it.

  1. 01

    Connect your channels

WhatsApp, email, phone, your booking system, calendars, forms. The agent works inside them — you move nothing.

  2. 02

    Write your procedures

In plain words: what to ask, who to notify, when to follow up, when to escalate. The app turns them into steps.

  3. 03

    Test in the playground

Identical to live — only the sending is simulated. See exactly what the agent would do before you switch it on.

  4. 04

    Go live and watch

Every case, step and decision is recorded. You confirm the changes; the agent hands over to a person when it should.

What it does

One agent. Every thread of the office.

Answers on your channels

Clients and colleagues, on WhatsApp, email, your booking system, phone (voice) and more — in their language, any time. When it isn't its job, it hands over to a person.

Follows procedures, step by step

Asks, informs, contacts the right colleague by role, follows up after a set time with retries, escalates, schedules, fills forms, closes the case.

Connects to your existing apps

PMS bookings, email inboxes, calendars of units or doctors (check, book, block), spreadsheet-like forms with calculated columns and reports.

Has its own browser

For sites without an API: it logs in, navigates, fills, reads invoices. It never pays and calls a person at “I'm not a robot”.

The in-app assistant

Ask in plain words — “add Maria to Cleaning” — and the assistant does it in the app, with a confirmation card before every change.

Scheduled messages and reports

Reminders, the daily summary, reports to colleagues — at the set time, on the set channel.

A flow from A to Z

One request. Eight steps. Nobody tied up.

Example: a clinic. A patient asks for an appointment on WhatsApp; the agent follows the “Book a consultation” procedure.

Procedure · Book a consultation

  1. 1Ask · reason for the visit
  2. 2Look up [Calendar: Dr. Ionescu]
  3. 3Calendar · book the slot
  4. 4Form [Appointments] · new row
  5. 5Notify [Front desk]
  6. 6Inform the patient
  7. 7Schedule · reminder one day before
  8. 8Close the case

The agent's browser

Even where there is no API.

Some sites have no integration. The agent uses its own browser, on the server, isolated per business — it logs in, navigates and reads like a person. You watch it live and can stop it any time.

  • Logs in with saved credentials — stored encrypted, never shown to the AI.
  • Navigates, fills in, reads invoices and records them where they belong.
  • Never pays: the code stops before any payment and notifies a person with the invoice and the amount.
  • At “I'm not a robot” or an SMS code it stops and calls a person; it bypasses nothing.

Safety and control

Transparent at every step. Yours at every decision.

Every step traced

What the agent received, decided, did and why it stopped — all of it stays recorded on each case.

A playground identical to live

The same path from input to output; only the sending differs. What works in testing works live.

Data isolated per business

Each business has its own data, browser and permissions, separate from everyone else's.

You confirm changes

The assistant shows a card with what it will change, before it changes it. Nothing done “on its own”.

Passwords nobody sees

Login details are stored encrypted; the AI never sees them.

A person, when needed

The agent takes instructions only from procedures and colleagues — and hands over what isn't its job.

The mydeskpilot app

Colleagues talk to the agent like on WhatsApp.

An app for the team: conversations with the agent, tasks and notifications in one place — at no per-message cost.

  • Get the task, reply in one word — the agent carries the case forward.
  • Ask it yourself: “message Costel; if he doesn't answer in 10 minutes, follow up”.
  • Notifications for what concerns you, not for everything.

Frequently asked questions

What people ask before they start.

Which channels does the agent answer on?

WhatsApp, email, your booking system (iGMS / PMS), phone (voice), Telegram, Instagram, Facebook Messenger and the mydeskpilot app for your team. It answers clients and colleagues, in their own language.

Do I have to change the apps I use?

No. The agent integrates with your existing apps: PMS bookings, email inboxes, calendars, spreadsheet-like forms. For sites without an integration it uses its own browser (browser automation).

Can the agent pay invoices in the browser?

No. The code stops it before any payment button and notifies a person with the invoice and the amount. At “I'm not a robot” or an SMS code it stops and calls a person; it bypasses nothing.

Can I test before going live?

Yes, in the playground. It is the same path as live — from the message received to the reply — and only the sending is simulated. What you see there is what the agent does live.

Is my business's data kept separate?

Yes. Each business has its own data, browser and permissions. Passwords are stored encrypted and the AI never sees them.

How do I confirm the assistant's changes?

Ask in plain words and the assistant shows you a card with what it will change. The change is made only after you press “Confirm”; nothing is done on its own.

What does the agent do when something isn't its job?

It takes instructions only from the procedures you write and from colleagues. Whatever isn't its job goes to a person, and every step — what it received, decided and did — stays recorded on the case.

Tell us what your office does every day. We'll show you what the agent can take over.

We start from your real procedures and test them together in the playground, before a single message is sent.
